Capability

Client and constituent management (CRM)

Contacts, outreach and member communication, on the same record as the operation.

What it does

Contacts and campaigns on the same record as the operation

Most CRMs sit apart from the work. Contacts live in one system and the operation in another, so nobody can tell whether the organization being emailed is the same one whose insurance lapsed last month.

Tansi keeps contacts, organizations and campaigns beside everything else you hold about them.

  • Contacts, organizations and opportunities

The core CRM record set — capture a raw lead, convert it in one step into a qualified contact, account and opportunity, and keep every relationship on one record.

    • Capture leads from web, email, SMS, referral or import
    • One-step conversion: lead becomes contact, account and opportunity
    • Rich contact cards, company/account records, tagging
    • Ownership assignment and per-tenant custom fields
  • Contact history and pipeline

Every call, email, meeting, note and task on one rolling timeline, and a kanban pipeline to drag opportunities through to Won or Lost.

    • Unified activity timeline rolling up from contact to account
    • Kanban sales pipeline with drag-to-stage and configurable stages
    • Follow-up tasks and reminders
    • Win/Loss tracking with mandatory loss reasons and award conversion to a project
  • Bid tracking and forecasting

KPI dashboards on the sales funnel, and a real bid workbook behind every opportunity.

    • Dashboards: activity, value, forecast, conversion rate and outstanding actions
    • Opportunity budget breakdown and contractor register
    • Pursuit cost ledger and computed bid build-up
  • Quotes, contracts and e-signature

Build the quote, sign the contract, all without leaving Tansi or needing a separate e-sign tool.

    • Build quotes and convert to invoices with a full chart of accounts
    • Generate contracts and proposals with built-in multi-party e-signing
    • Public, tokenized, no-login signing and viewing pages
    • Attachments ride along automatically on emailed documents
  • Client portal and linked records

Share exactly what you choose with a client, and connect the deal to the delivery work.

    • Two-lock client sharing portal — only documents, notes, tasks and timeline items you mark shared, on a portal you've turned on
    • Costs and stage changes are never visible to clients, under any configuration
    • Link CRM accounts and opportunities to platform projects and support tickets
  • Client communications and campaigns

Reach a lead or client without leaving their record, and run outbound campaigns to segments.

    • Two-way email/SMS tied to any CRM record, with conversation threads
    • Mass communication campaigns to lead/contact segments
    • Public, per-tenant lead capture form
    • Meet Now / scheduled meetings with billing and account worker rates

Questions we get asked

Client and constituent management (CRM) questions

What kind of CRM is this?

Operational rather than sales-first. Contacts, organizations, members and vendors sit on the same platform as the work, so outreach is informed by what actually happened.

What can a campaign target?

Anyone held in your account — your own people, customers, members, vendors or leads — or any segment you can define from them. It works the same way the mass communication module does, so if you can describe the audience, you can send to it.

Can we send quotes and invoice our clients?

Yes. Send a quote with attachments, convert an accepted quote into an invoice without rebuilding it, and keep the contract and supporting documents on the same record — so the commercial trail and the operational one are not in two different systems.

What happens when we win a quote or a bid?

Convert it into a project. From that point the same record carries the work — time and billables, the workforce assigned, contractor compliance, forms, assets and cost — so nothing is re-entered at the moment the job actually starts.

Does it cover events and registration?

Yes, including registration, attendance and follow-up.

Does it replace a separate mailing tool?

It can. The advantage is that the list is the operational record, so nobody exports a spreadsheet and hopes it is still current.

Where this was proven

Proven across sectors that share nothing except the problem. Federal and provincial government, municipalities, post-secondary education, a health authority, a business association and three major energy infrastructure programs — running the same platform, configured differently.
